The Challenge

UWA’s exceptionally high standards permeate through the university; including its support functions. The university has strategically planned to be one of the world’s top 50 universities by 2050; part of which includes compliance. To ensure compliance, accurate, timely and easy to use reporting is paramount.

UWA’s Facilities Management Department use IBM Maximo® for asset management. However, when Maximo® needed to be upgraded, they found that the associated reporting tool would not be compatible with the new version. So UWA’s David Kerr, Facilities Management, went to market to find a replacement. The new system had to be:

  • A replacement that offered similar functionality to their old reporting tool
  • Able to sit across multiple data sources,
  • Easy to use with Excel®, Word® and web-based (HTML) presentation options
  • Able to provide version control and user-based information access levels

The solution

Although the UWA team were keen on Sharperlight due to its similarity to the old reporting tool, it was the demonstration of its full functionality that really “sealed the deal.”

“We shortlisted Sharperlight because the functionality was perfect for our needs, but the demonstration proved the tool could do more than we expected and exceed the limitations of the old tool” noted David.

In addition, the tool’s ability to easily connect to multiple databases was a major benefit.

Upon selection, UWA utilised an enterprise edition of the Sharperlight installation, including HTML reports, with the addition of an Excel® and Word® interface for user manipulation and printing.

Implementation

When the upgrade to Maximo® was approximately 85% complete, the Sharperlight installation began.

By working in close collaboration, the phiLight and UWA teams had Sharperlight implemented, and the existing 200 reports converted, in just four months.

“The team were very accommodating” David commented. “On the day before the Maximo® Go-Live date a critical issue was raised. As UWA still operates on some public holidays this happened to fall on a long weekend. A philight staff member took time out from his long weekend to fix our problem.
